Poster Presenter Guidelines

Poster presentations will take place on-site at the DDW Poster Hall and online at the DDW ePosters site. For full information on formatting a physical poster and instructions on submitting an ePoster, please view the guidelines below.

DDW Registration

All poster and ePoster presenters (members and nonmembers) must register for DDW and pay the appropriate registration fees. Poster and ePoster presenters are not automatically registered for DDW. 

Abstracts accepted by AASLD, AGA and SSAT will be published in an online supplement of Gastroenterology. Abstracts accepted for publication by ASGE will be published in an online supplement of GIE: Gastrointestinal Endoscopy.

On-Site Poster Presenters

General Policies
  • Presenting authors are required to register for and attend DDW 2024 in person and present their abstract at the Walter E. Washington Convention Center at the date and time specified in their acceptance notification.

  • Poster presenters are solely responsible for printing their posters, as DDW will not offer a poster printing service for the 2024 meeting. Presenters not able to print their posters at home, or who do not wish to travel with their posters, are encouraged to seek out local print and office supply shops in Washington, D.C..

  • DDW and Walter E. Washington Convention Center staff are not able to accept packages on behalf of poster presenters. Do not ship your poster directly to the convention center or Poster Hall, as any personal shipments will be refused.

Poster Hall Policies

You may enter the Poster Hall, located in Hall A, Lower Level at Walter E. Washington Convention Center, starting at 7 a.m. EDT on the day of your scheduled presentation to hang your poster. When you enter the Poster Hall, please proceed directly to your assigned poster board. Push pins and a poster presenter ribbon will be available at your assigned poster board.

 

Poster presenters are responsible for removing their posters from their boards between 4 and 6 p.m. EDT on the day of their scheduled presentation. Any posters or poster tubes remaining in the Poster Hall after 6 p.m. EDT will be discarded. Overnight storage is not permitted.

Poster Number

Each poster board is assigned a number corresponding to the poster numbers listed in the program. Poster presentations are numbered by a “P” followed by a four-digit poster board number. For example, Sa1000 is poster 1000 presented on Saturday. Please use the board that corresponds with your abstract number.

Poster Size and Templates

The maximum size of DDW poster presentations is 4’ high by 6’ wide. DDW will provide tacks to affix your presentation to the poster board along with a poster presenter ribbon at each poster board.

Presenters are strongly encouraged to use the DDW poster templates, which are sized for both physical poster and ePoster presentation. Presenters that elect to use their own designs should ensure that their files are formatted properly to meet the 4’ by 6’ size limit.

Required Poster Information
Poster presentations must include full disclosure information for the entire author string. No product-specific promotional material or event may appear or occur in educational space or material or during an educational activity.
Photography Policy

The photography policy allows photos of posters for personal, social or non-commercial use; however, presenters have the right to request no photography, and in those situations, photography is strictly prohibited.

 

If you do not want to allow attendees to take photos of your poster, you may download this “No Photography” image and add it to your poster. On-site, you may stop by the Poster Information Desk to pick up a “No Photography” sign to hang on your assigned board.

Suggested Guidelines for Preparing an Effective Poster

There is no required format or orientation, so you may format your poster as you wish provided that it does not exceed the 4’ by 6’ size limitation. DDW suggests the following guidelines:

  • Text Lettering: Lettering for text and illustrations should be at least a font size of 30 points (0.4” or 10.5mm).
  • Depicting Sections: Each section should be numbered with text in a font size of 50 points (0.7” or 17.5mm) to guide the reader through your poster. Color is an effective method for separating sections and adding graphic impact. Try to avoid color combinations that are difficult to read.
  • Premise: Your poster should include three to five brief sentences that outline information necessary to understand the study and why it was performed. The question(s) to be asked or the hypotheses tested should be clearly and succinctly stated.
  • Methods: Outline your methods briefly, providing only details for new methods, or modifications of older methods.
  • Graphics: Results presented in the form of a graph or chart are always more effective than blocks of text. Provide a legend for symbols and other details and interpretation of results below each panel.
  • Conclusion: State the conclusion succinctly in large type. Many viewers read this first; hence, it should be easily understandable.
The Day of Your Presentation

Poster sessions will take place in the DDW Poster Hall in the Walter E. Washington Convention Center (Hall C, Lower Level). Follow this schedule to plan your day:

  • 7–9 a.m.: Poster Hall is open for authors to place their presentations on the boards.
  • 7 a.m.–4 p.m.: DDW Poster Hall Information Desk is open.
  • 9:30 a.m.–4 p.m.: Poster presentations are displayed.
  • 12:30–1:30 p.m.: Authors must be present at their boards during this time to answer questions from attendees.
  • 4–6 p.m.: Authors may remove poster presentations.
  • 6 p.m.: Any posters or other materials left in the Poster Hall after this time will be discarded.
ePoster Information

To increase the visibility and reach of your science, you are encouraged to submit an ePoster that will be featured at the DDW 2024 ePosters site. DDW attendees will be able to view this electronic version of your poster along with any audio narration you choose to add. Attendees will have the ability to post questions for presenters at the ePosters site using the site’s chat feature.

ePoster submission is encouraged, but not required. There is no fee to submit an ePoster. Visit the DDW ePosters Archive to view examples from previous meetings.

Presenting authors will receive email from [email protected] on Monday, April 1, with login information for the ePosters submission site. To ensure that your ePoster is available to attendees at the start of DDW, please submit your ePoster by Friday, April 26 (all time zones).

Formatting Your ePoster
  • ePosters may be uploaded as PowerPoint or PDF file types. Landscape format  is recommended.
  • Please do not password-protect your file.
  • Files should be one (1) slide only.
  • Use of the DDW poster templates is strongly encouraged, but not required. If you use the DDW poster template for your physical poster and submit the same file for your ePoster presentation, you can be assured that it will meet all ePoster sizing requirements.
Audio Narration

You will be able to add optional audio narration to your ePoster sections during the final review step after successful upload of your file. To learn more about this feature, view this tutorial video.

ePoster FAQs

Am I able to re-upload my poster if I have new edits?
Yes.

If I re-upload my ePoster, are the audio files I recorded deleted?
No. The audio will remain unless you remove a section of the ePoster.

When can I add audio narration to my ePoster?
After you submit your original file, the MULTIPOSTER team will convert the file to an ePoster. You will receive an email when the ePoster is ready for your approval and optional audio narration.

When will my ePoster be formatted and ready for audio recording?
It may take up to five days from submission of your file before a narration can be recorded. Submit your poster file early to avoid missing the submission deadline.

Is there a deadline for audio narration recording?
No. The submission system where you upload and can record the audio narration will remain open at all times.

Can I submit pre-recorded audio files?
We recommend that you use the online microphone tool at the upload site so that your audio is uploaded in the correct format to the corresponding poster section(s). However, you can also upload an mp3 audio file to each section if you prefer.

Is there a limit on the number of narrations I can use? And is there a narration length limit?
You may add one narration per poster section. Narrations are limited to four minutes per section.

ePoster Only Presenters

General Information
  • ePosters, along with full-text abstracts, will be available to attendees at the DDW 2024 ePosters site.
  • ePoster presenters are not required to be online at a specific date and time during DDW 2024; rather, ePoster presenters are asked to periodically log into the ePosters site (meeting registration required) during DDW to view and respond to questions posted by attendees.
  • More information on creating a profile and using the forums feature at the ePosters site will follow by email in early May.
